Cancellation terms on a booked trip

Cancellation terms on a booked trip belong to whoever runs the trip, never to this desk. Below is the usual shape of them and the four places they bite hardest.

Our office charges you nothing and is paid a commission by the operating company after travel to cancel. Trips here run $1,890 to $4,450 per person.

The request form takes bookings 24/7 and keeps no closing time. A person opens what arrives before the working day ends.

Seventeen trips are filed on this site, and seventeen different sets of cancellation terms on a booked trip sit behind them. Birchway Point is a booking office in Greensboro, NC. We take your request, we arrange the reservation with the company that operates the trip, and that company writes the refund schedule. We take no payment from you, hold no card, and there is no checkout on this site. So when a deposit is due, it is paid to the operator on their form, on their timetable, and it is their schedule that governs what comes back to you. Put plainly: the operating company sets the terms, and this office reads them to you before you commit a dollar.

That is not a way of stepping aside. It changes what you should ask us. The useful question is never "what is your cancellation policy" but "what does this particular operator do at ninety days, and what does it do at thirty." We will pull the exact clause and quote it to you in writing before your deposit leaves your hands, and we will tell you which of the four notice tiers on this site tends to carry the harshest schedule. Long-lead trips do. That is the trade for holding an eighteen-month place.

  1. Request goes inYou send the form or (336) 680-4173. Nothing is booked and nothing is owed.
  2. Terms quoted in writingBefore any money moves, we send you the operator's own refund schedule with the dates spelled out as calendar dates, not as day counts.
  3. Deposit paid to the operatorYou pay them directly. The clock in that schedule starts on the date they receive it, which is often a day or two after you send it.
  4. Cancellation, if it comesYou tell us, we notify the operator the same working day, and we send you their written acknowledgment with the date and time on it.

Four places the schedule actually bites

The operator cancels instead of you
Different rule entirely. Every operator we work with returns money paid when they are the one who withdraws the departure, and most offer a transfer to another date as the first option. What almost none of them cover is what you spent getting to the start point. Ask us before you buy any onward arrangement of your own.
A permit or a capped place
On the two-winters tier, and on some most-of-a-year trips, the operator has bought a numbered permit or a capped bed against your name. That number is not currency. It cannot be sold on, credited to a friend, or carried to next season, and the portion of your payment that covers it is usually gone from the first day it is issued. The rest of the trip may still refund on the ordinary schedule.
A long-lead deposit
Sometimes, and the honest answer is that it depends which line of the invoice you are looking at. Operators who open a book once a year commonly split the deposit: a small administration portion that is never refundable, and a larger holding portion that refunds in full until a stated date, then in part, then not at all. We will show you where that split falls before you pay.
Changing the name on a booking
Almost always the smaller bill, and worth asking about before you give up a place. Typical figures run from nothing at all up to a few hundred dollars per person, and the ceiling is set by whether flights or permits are already issued in the original name. Once a permit carries a name, a substitution is frequently impossible.

What we do when a schedule turns against you

We do not have the power to overturn an operator's terms, and any office that tells you otherwise is selling you something. What we can do is worth having anyway.

We ask. A request from a booking office that sends an operator repeat business is read differently from a request that arrives cold, and we have had partial credits and date transfers granted on that basis where the written schedule offered nothing. It is not a promise and we will never present it as one.

We also document. If you cancel because the operator moved the departure, shortened the itinerary, or changed the accommodation grade after you paid, that is a materially different conversation, and having the change in writing with a date on it is what makes it winnable. Send us anything the operator sends you, even if it looks routine.

And we read the paperwork you were given. People frequently have more protection than they think, sitting in a document nobody opened. Payment card chargeback windows, operator financial-failure protection, and the change-of-terms clause in the operator's own conditions all come into it. We will point you at the right paragraph. We do not sell or advise on insurance of any kind.

A message about a cancellation is read There is no attendance timetable on this site and there will not be one. Hours on a door answer a question nobody is asking, which is whether a human being happens to be sitting down at this moment. The question that matters is how long you wait for something useful. So: the request form is awake 24/7 and shuts for nothing, whatever lands in it is opened by a person before that working day is out, and a number against your own dates takes two to four working days because a second company has to answer first. No figure is guessed at to make the wait shorter. and answered looked at before the working day ends. A written figure, including a quoted refund calculation, two to four working days go by before the figure does because we get it from the operator rather than estimating it. Related reading: the cost of pulling out, the order the work happens in, what people ask before they commit.

Tell us about a reservation you need to change

Sending this reserves nothing and holds no number. Requests reach this form 24/7. It has no closing time to keep.

A person opens this, looked at before the working day ends. Pricing it against your own dates is slower and runs to two to four working days, because a second company answers on a clock this desk does not control. Card details are wanted at no point, here or later.
